Your Party Details ("we", "us", "the Company") respects the privacy of its online visitors and customers and complies with applicable data protection law, including the European Union General Data Protection Regulation ("GDPR").

1. Definitions

Wherever we refer to Personal Data below, we mean any information that can either identify you as an individual, or that can be linked to you indirectly. For example:

(i) the information you give us when you place an order;
(ii) the information you give us when you contact us for support or to report a problem;
(iii) any artwork, photos, names, dates or wording you send us to be personalised onto a product;
(iv) information you provide when responding to a survey or entering a competition;
(v) technical information, including the Internet protocol (IP) address you are using;
(vi) your browser, time zone setting, browser plug-in types and versions, operating system and platform;
(vii) details of any transactions, purchases and payments you have made;
(viii) your general interaction with the website, including the pages you visit, the products you view or search for, page response times, download errors and how long you spend on a page;
(ix) information we receive from third parties, such as our payment provider, our print partner and our delivery carriers.

We also process anonymous data, aggregated or otherwise, to analyse and produce statistics about how our customers use our shop. Anonymous data does not allow us to identify the person it relates to. We may share anonymous data with third parties.

2. Why we collect and process data

We collect and process Personal Data for the following reasons:

(a) to perform our agreement with you, which means designing, printing, packing and delivering the order you placed;
(b) to improve and develop our products and services;
(c) to send you order confirmations, proofs, shipping notifications and answers to your questions;
(d) to collect amounts that are overdue;
(e) to respond to or take part in legal proceedings, including obtaining professional advice, or for our own legitimate interests or those of a third party;
(f) to comply with legal obligations, including tax and accounting law;
(g) to detect and prevent fraud;
(h) for direct marketing, for which we ask your consent separately and which you can withdraw at any time;
(i) for purposes directly related or incidental to the above;
(j) where you have given us your consent.

These reasons determine and limit what data we collect and how we use it (section 3), how long we keep it (section 4), who has access to it (section 5) and what rights you have (section 6).

3. What data we collect and process

3.1 Order data

When you place an order we collect your name, email address, billing address, delivery address, telephone number where you provide one, and the details of what you ordered. We need this information to make and deliver your order. Without it we cannot fulfil your purchase.

3.2 Personalisation data

Because our products are personalised, your order will usually include the wording you want printed. That can include names, dates, an event, a message, and sometimes a photograph or a logo you upload. We use this information solely to produce your order and to show you a proof before printing.

We keep your design on file so that you can reorder without starting again. If you would rather we deleted it, email us at info@yourpartydetails.com and we will.

3.3 Payment data

Payments are handled by our payment providers, Shopify. When you pay, your card details go directly to the payment provider. We never see or store your full card number, expiry date or security code. We receive confirmation that a payment succeeded, along with the last four digits of the card and the billing name and address, which we use for our accounts and for fraud checks.

3.4 Your use of our website

We collect information about how you interact with our shop, which may include browser and device information, the pages you view, and data collected automatically through cookies and similar technologies. We use this to keep the shop working properly, to understand which products people are looking for, and to improve the experience.

3.5 Cookies and similar technologies

We use cookies, which are small text files placed on your device, and similar technologies such as pixels and tags, to recognise your device, to keep your basket working, to analyse how our shop is used, and to improve our marketing.

The use of cookies is standard on the internet. Most browsers accept them automatically, but the decision is yours: you can set your browser to refuse cookies or to warn you each time one is sent. Please note that if you refuse all cookies, parts of our shop may not work properly, including your basket and checkout.

When you first visit our shop you are asked which cookies you accept. Analytics and advertising cookies are only placed once you have agreed to them, and you can change your choice at any time through the cookie settings on our site.

When you visit our shop, our servers log your IP address, which is the number automatically assigned to the network your device is part of.

3.6 Third party services

Our shop uses the following third party services, which may place cookies or receive data about your visit:

  • Shopify - our shop platform, checkout, payment processing and hosting
  • Klaviyo - our newsletter and order-related emails
  • Google Analytics - understanding how our shop is used
  • Meta (Facebook and Instagram) - advertising and measurement
  • TikTok - advertising and measurement
  • UPS - delivery and tracking
  • Our print partner in the United States - producing and dispatching your order

Information generated by these services is generally transmitted to and stored on servers in the United States. We cannot control how a third party service uses cookies or the resulting information, and we encourage you to read their own privacy policies.

3.7 Marketing

Where you have given your consent, or where email marketing is otherwise permitted by law, we may send you messages about our products, offers and new designs. We may use the information we hold to make those messages more relevant to you, and to see whether you opened them and which links you followed.

You can withdraw your consent at any time by clicking the unsubscribe link in any marketing email, or by emailing us at info@yourpartydetails.com.

Whether or not you receive marketing emails, we will still contact you about your order: your proof, your shipping confirmation, and anything else we need to tell you about a purchase you have made.

3.8 Fraud prevention

We collect certain information needed to detect, investigate and prevent fraud and other breaches of applicable law. We use it only for that purpose, and keep it only for as long as that purpose requires. If it indicates that a breach has occurred, we may keep it longer in order to establish, exercise or defend legal claims.

4. How we store data

4.1 How long we keep it

We keep your information for as long as necessary to fulfil the purposes for which it was collected, or for longer where the law requires it.

We are required to retain order and transaction records for as long as the commercial and tax law that applies to us requires. In practice this means several years after your purchase, even if you have asked us to delete everything else.

4.2 Deletion

If you ask us to delete your Personal Data, we will do so without undue delay, except where we are legally required to keep it or where we have another lawful basis for retaining it. Where data cannot be fully deleted, we will anonymise it permanently.

If you withdraw a consent that our processing was based on, we will delete the data collected on that basis.

If you object to processing based on our legitimate interests, we will review your objection and delete the data processed for the purpose you objected to, unless another legal basis applies or the law requires us to keep it.

4.3 Where your data is stored

Your Personal Data may be transferred to, stored in and processed in countries other than your own. Our shop platform, our print partner and several of our service providers are based in the United States, and your order details are processed there in order to be printed and dispatched. Your data may also be processed in the country in which we are established, which is set out in section 9.

Where data is transferred out of the European Economic Area, we rely on the safeguards permitted under the GDPR, including the European Commission's Standard Contractual Clauses and, where applicable, the EU-US Data Privacy Framework. We take all steps reasonably necessary to ensure your data is treated securely and in accordance with this policy.

5. Who has access to your data

5.1 We share your Personal Data with the parties that make your order happen: our print partner, our delivery carriers, our payment providers and our shop platform. They receive only what they need in order to do their part.

5.2 We may share your data with our own advisers, accountants and service providers, where this is necessary for running our business, and where they are under a duty of confidentiality.

5.3 We may disclose Personal Data where we are required to do so by law, by a court order, or by a competent authority.

5.4 In the event of a reorganisation, sale or merger of our business, we may transfer Personal Data to the relevant or proposed transferee.

We do not sell your Personal Data, and we do not share your email address with anyone for their own marketing purposes.

6. Your rights

You have the right to:

(a) ask whether we hold Personal Data about you;
(b) access the Personal Data we hold about you;
(c) require us to correct any inaccuracy or error;
(d) request deletion of your Personal Data;
(e) object to processing based on our legitimate interests;
(f) ask us to restrict processing in certain circumstances;
(g) receive your data in a portable format, or ask us to transfer it to another provider;
(h) withdraw a consent you have given, at any time.

The data protection laws of the European Economic Area grant these rights to its residents. While other jurisdictions may grant fewer rights, we make these tools available to our customers worldwide.

To exercise any of these rights, email us at info@yourpartydetails.com. We will respond within one month. If your request is unusually complex we may extend that period, and we will tell you if we do.

If you believe we have handled your data improperly, you also have the right to complain to the data protection supervisory authority in the country where you live.

7. Children

Our shop is intended for adults, and we do not knowingly collect Personal Data from children under 16. If you believe a child has given us their information, email us at info@yourpartydetails.com and we will delete it.

8. Security

We take reasonable technical and organisational measures to protect your Personal Data against loss, misuse and unauthorised access. Our shop runs over an encrypted connection, and payment data is handled entirely by our payment providers. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security, but we treat your information with care.
